1. Information We Collect

When you create an account or use Kairoo, we collect information you provide directly: your name, email address, and organization details. We also collect usage data such as pages visited, features used, and search queries within your help center to improve the product.

If you use our AI features, the content you send (articles, support messages) is processed by third-party AI providers (OpenAI, Anthropic) to generate responses. We do not store AI-generated outputs beyond what you choose to save.

2. How We Use Your Information

• Provide, maintain, and improve Kairoo's services
• Send transactional emails (login links, team invites, password resets)
• Analyze usage patterns to improve product features
• Provide AI-powered features such as article suggestions and draft replies
• Respond to support requests

3. Data Storage & Security

Your data is stored on Supabase (hosted on AWS) and Vercel infrastructure. We use encryption in transit (TLS) and at rest. API keys you provide for BYOK AI features are stored encrypted and are never exposed to other users or in client-side code.

4. Third-Party Services

We use the following third-party services to operate Kairoo:

• Supabase: database, authentication
• Vercel: hosting, deployment
• Resend: transactional email delivery
• OpenAI / Anthropic: AI features (only when enabled)
• Google: OAuth sign-in (optional)

5. Your Rights

You can request access to, correction of, or deletion of your personal data at any time by contacting us. You can delete your account and all associated data from your dashboard settings. When you delete your account, we remove your data from our active systems within 30 days.

6. Cookies

Kairoo uses essential cookies for authentication and session management. We do not use advertising or tracking cookies. No third-party analytics scripts are loaded on your help center pages.

7. Data Retention

We retain your account data for as long as your account is active. Help center analytics (search logs, chat logs, article views) are retained for 12 months. You can request earlier deletion at any time.

8. Changes to This Policy

We may update this policy from time to time. We'll notify you of material changes by email or through an in-app notice.
